Vistas Cloud (“we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at  https://vistascloud.com, use our services, or interact with us via SMS/text messaging.

2. Information We Collect

We may collect the following types of information: 

  • Contact information: Name, business email address, phone number, mobile number. 
  • Usage data: IP address, browser type, browser user agent string, pages visited, and time spent on our site. 
  • Communications data: Messages, support tickets, and inquiries you send to us. 
  • SMS data: Mobile phone number, opt-in consent status, and message interaction data when you enroll in our SMS service. 
  • Cookie data: Session identifiers, login tokens, and display preferences (see Section 6 below). 

3. How We Use Your Information

We use the information we collect to: 

  • Deliver and operate our services (Dynamics 365, Microsoft 365, Azure, and managed IT services). 
  • Respond to your inquiries, support requests, and service tickets. 
  • Send SMS messages you have opted in to receive (see Section 8 — SMS/Text Messaging). 
  • Improve our website, products, and customer experience. 
  • Comply with legal and regulatory obligations. 
  • Detect and prevent fraud, spam, and security threats. 

4. Comments

When visitors leave comments on the site, we collect the data shown in the comments form, along with the visitor’s IP address and browser user agent string to assist with spam detection. An anonymized hash of your email address may be used to verify account activity. After approval, your profile picture may appear alongside your comment. 

5. Media

If you upload images to the website, avoid uploading images with embedded location data (EXIF GPS). Visitors to the website can download and extract any location data from images on the website. 

6. Cookies

We use cookies to enhance your browsing experience. Specifically: 

  • Comment cookies: If you leave a comment, you may opt in to saving your name, email, and website in cookies for convenience. These last for one year. 
  • Login cookies: If you log in, we set cookies to save your login state (two days) and display preferences (one year). “Remember Me” extends login cookies to two weeks. Cookies are removed upon logout. 
  • Session cookies: A temporary cookie is set on login page visits to determine browser cookie support. It contains no personal data and is discarded when you close the browser. 
  • Article cookies: Editing or publishing an article sets a one-day cookie containing the post ID — no personal data. 

7. Embedded Content from Other Websites

Pages on this site may include embedded content (videos, images, articles, etc.). Embedded content from other websites behaves as if the visitor has visited those websites directly. Those websites may collect data about you, use cookies, and track your interactions. 

8. SMS / Text Messaging

This section applies specifically to our SMS text messaging program and governs how we handle mobile phone numbers and SMS-related data. 

8a. Program Description

Vistas Cloud operates an SMS notification and support program to send service-related text messages, including: 

  • Appointment reminders and scheduling confirmations 
  • Onboarding and implementation updates 
  • Incident alerts and ticket status updates 
  • Scheduled maintenance notifications 
  • Account-related communications and service announcements 

8b. How We Collect SMS Consent

We collect your mobile phone number and SMS opt-in consent through: 

  • Online forms on our website (https://vistascloud.com/sms-opt-in/) 
  • Support ticket submissions 
  • Direct agreements with your account representative 

You must affirmatively opt in before receiving SMS messages. We do not send unsolicited SMS messages. 

8c. How We Use SMS Data

We use your mobile phone number and SMS consent data only to: 

  • Send text messages you have opted in to receive 
  • Respond to inbound SMS replies (HELP, STOP, START) 
  • Maintain records of your consent status for compliance and auditing purposes 

8d. No Third-Party Sharing of SMS Data

Vistas Cloud does not sell, rent, trade, or share your mobile phone number, SMS opt-in consent data, or SMS message content with any third party for their own marketing, advertising, or promotional purposes. 

  • SMS opt-in data and phone numbers are never shared with affiliates, data brokers, or marketing partners. 
  • We may share your mobile number with trusted SMS gateway and carrier service providers (such as telephony infrastructure providers) solely for the purpose of delivering your text messages. These providers are contractually prohibited from using your data for any purpose other than message delivery. 
  • No account details tied to your SMS profile are shared with third parties outside of this strictly operational need. 

8e. Opt-Out

You may opt out of SMS messages at any time by replying STOP to any message from Vistas Cloud. We will send a one-time confirmation and immediately cease sending messages. To resume, reply START or re-enroll at https://vistascloud.com/sms-opt-in/.

8g. Message Frequency and Rates

Message frequency may vary. Standard message and data rates may apply from your mobile carrier. Vistas Cloud does not charge separately for SMS.

9. Who We Share Your Data With

We do not sell your personal information. We may share data only in these limited circumstances: 

  • Service providers: Trusted vendors (hosting, email delivery, SMS gateway, analytics) who process data on our behalf under strict data processing agreements. 
  • Legal obligations: When required by law, court order, or regulatory authority. 
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your data may be transferred, subject to the same privacy protections. 
  • Security: To detect, investigate, or prevent fraud, abuse, or security threats. 

SMS opt-in data, mobile phone numbers, and account details are explicitly excluded from any data sharing arrangement and are never shared with third parties for marketing or promotional purposes. 

10. How Long We Retain Your Data

  • Comments: Retained indefinitely so we can recognize follow-up comments. 
  • User profiles: Retained as long as your account is active. Users may request deletion at any time. 
  • SMS data: Retained for the duration of your SMS enrollment and for a reasonable period thereafter for compliance and audit purposes. 
  • Support records: Retained per our standard service retention schedule. 

11. Your Rights Over Your Data

You have the right to: 

  • Request a copy of the personal data we hold about you. 
  • Request correction of inaccurate data. 
  • Request deletion of your personal data (subject to legal retention requirements). 
  • Withdraw SMS consent at any time by replying STOP.

12. Where We Send Your Data

Visitor comments may be checked through an automated spam detection service. SMS messages are transmitted through carrier-grade SMS gateway providers. All transfers are governed by appropriate data processing agreements. 

13. Security

We implement reasonable technical and organizational measures to protect your information from unauthorized access, disclosure, alteration, or destruction. No method of transmission over the internet is 100% secure; however, we take all commercially reasonable steps to protect your data. 

14. Children's Privacy

Our services are not directed to children under the age of 13, and we do not knowingly collect personal information from children. If you believe we have inadvertently collected such data, please contact us immediately. 

15. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last Updated” date at the top of this page will reflect any changes. Continued use of our website or SMS service after updates constitutes acceptance of the revised policy.
